Casual opportunity for aProject AssistantCommencing ASAPflexible availability to work on-a-needs basis from Feb -Julyis preferredHEO4$ super About the opportunity We are looking for a motivated and detail-oriented Project Assistant to join our team. In this role, you will provide hands-on administrative and project support to help keep our projects running smoothly. Working under the guidance of senior team members, you willassistwith coordination tasks, stakeholder communications, and day-to-day operations that are essential to delivering successful outcomes. This isa great opportunityfor someone looking to build their career in project coordination and administration within a dynamic university environment. Your key responsibilities will be to: Project Coordination SupportAssistwithmaintainingproject plans, schedules, and progress tracking documentation.Help prepare business cases, status reports, and audit documentation under supervision.Identifyopportunities to streamline administrative processes and suggest improvements.Maintain document templates, version control, and file distribution.Flag potential project issues such as cost overruns or resource constraints to senior staff. Stakeholder CommunicationSupport productive working relationships with internal and external project stakeholders.Assistwith preparing presentations, meeting materials, and training resources.Help gather stakeholder feedback and contribute toidentifyingareas for improvement. Financial and Administrative SupportAssistwith processing payments, purchase orders, invoices, and travel coordination in line withUniversityfinance policies.Helpmaintainaccuratefinancial records and support budget tracking and reconciliation activities.Support asset management record-keeping asrequired. General OperationsProvide efficient day-to-day administrative support to the team and stakeholders.Respond to enquiries, manage correspondence, and help coordinate resource procurementLiaise with internal university teams (e.g. Central Operations, IT, procurement) to support smooth service delivery.Assistwith contractor renewals, building access requests, and similar operational tasks. HR and People SupportAssistwith staff onboarding, inductions, and offboarding processes in collaboration with HR.Help prepare position descriptions and support recruitment activities as needed.Contribute to developing guides and process documentation to support team workflows. Reporting and ComplianceAssistwith generating reports andmaintainingdata accuracy across systems.Helpidentifyand flag discrepancies in data and reporting for resolution.Support governance and compliance activities under the guidance of senior staff. About you EssentialStrong verbal and written communication skills with a customer service focus.Good organisational skills with the ability to prioritise tasks and manage competing deadlines.Solid problem-solving skills and the ability to use initiative withappropriate guidance.Competency with standard office software (e.g. Microsoft Office suite). DesirableNumeracy skills with the ability toassistwith basic financial tasks such as invoice processing.Previousexperience in the higher education sector or a large, complex organisation.Experience in a project support or administrative coordination role. Sponsorship / work rights forAustralia You must have unrestricted work rights in Australia for the duration of this employment to be eligible to apply. Visa sponsorship is not available for this appointment.
